Concio is a white-label mentorship and booking platform designed to connect mentors, coaches, and experts with the clients who book their time. Built as a centralized ecosystem, the platform replaces the scattered mix of email threads, spreadsheets, and third-party scheduling tools that coaches and consultants previously relied on, giving both sides of a session a single home for scheduling, payment, and follow-up.
The platform lets mentors build a personalized profile, sync their calendar, define availability windows, and set session pricing by duration, while mentees browse mentor profiles, book a slot, and pay in the same flow. Sessions run through integrated Zoom and Google Meet links generated automatically at booking, with recordings securely stored afterward so either side can revisit a conversation. A white-label layer on top lets organizations spin up their own branded mentoring portal, invite employees as mentors or mentees, and manage the whole program from a dedicated admin dashboard.

The Issue At Hand
Coaches, consultants, and mentors were coordinating sessions manually across email threads, messaging apps, and spreadsheets, with no single source of truth for who was booked, when, or at what rate.
Mentors juggled separate tools for calendar management, video conferencing, and payment collection, forcing constant context-switching just to run a single session end to end.
Organizations that wanted to run internal mentoring programs had no way to brand the experience as their own, and no centralized way to manage which employees were mentors versus mentees.
No centralized booking system, leading to double-bookings, missed sessions, and manual back-and-forth to confirm a time that worked for both sides.
Fragmented tooling across calendar, video conferencing, and payments, with no single flow connecting availability to a paid, confirmed session.
No white-label option for organizations, forcing companies interested in structured mentoring programs to either build something custom or use a generic, unbranded tool.
No persistent record of past sessions, recordings, or payment history, leaving both mentors and clients without an easy way to revisit prior conversations.

Launch

Before development began, the team analyzed how coaches and mentors were currently running their businesses, mapping every manual step in the scheduling-to-payment-to-session lifecycle. This research shaped the decision to build calendar and video integrations directly into the booking flow rather than treating them as optional add-ons.
Key Activities
Manual Workflow Audit
Documented how mentors currently scheduled sessions across email, messaging apps, and spreadsheets to identify every point of friction and missed-booking risk in the existing process.
Tool Fragmentation Analysis
Identified that mentors were switching between separate calendar, video conferencing, and payment tools for a single session, and prioritized unifying these into one flow.
White-Label Requirement Discovery
Found that organizations wanted their own branded mentoring portal rather than a generic third-party tool, leading to the white-label, multi-tenant architecture decision.
Technology Stack Selection
Confirmed a modern, component-driven frontend paired with a scalable backend, chosen to support multi-tenant branding, calendar sync, and payment processing without compromising performance.
Delivered

Booking & Scheduling Engine
Mentors set availability once and let synced calendars, custom pricing by session duration, and a shareable booking link handle the rest, ending manual back-and-forth scheduling.

Integrated Video & Recording
Zoom and Google Meet links generate automatically at booking, with session recordings securely stored so mentors and mentees can revisit past conversations anytime.

White-Label Organization Portals
Organizations run their own branded mentoring program, inviting employees as mentors or mentees and managing the entire program from a dedicated admin dashboard.

Before this, our coaches were stitching together five different tools just to run a single session. Now everything lives in one place, and it just works. Our organization clients finally have the branded experience they'd been asking for, and the whole thing came together faster than we expected.
